Every car in your yard needs a Consumer Information Notice before it's offered for sale, and every trade-in deserves a PPSR check before you write a cheque for it. Most dealers know this. Fewer have a system that makes it quick, consistent and impossible to forget when the yard is busy and a buyer is standing at the desk.

Get compliance wrong, and it's not just a paperwork problem. A missing or inaccurate CIN can trigger a Commerce Commission complaint. A trade-in with an undisclosed security interest can leave you paying off someone else's finance. Both are expensive lessons that a two-minute check would have avoided.

A Consumer Information Notice is the standard, at-a-glance disclosure that has to accompany every used vehicle a dealer offers for sale in New Zealand. It exists so a buyer can see the basics before they commit: things like the vehicle's history, odometer reading, and whether there's anything registered against it that could affect ownership.

The detail matters. A CIN that's incomplete, out of date, or filled in from memory rather than a proper check puts your dealership at risk, even if the mistake was genuinely unintentional. The safest approach is to generate the CIN directly from a vehicle check, so what's on the notice matches what's actually on record.

The Personal Property Securities Register (PPSR) tells you whether there's money owing against a vehicle, whether that's a car loan, an unpaid finance balance from a previous owner, or a security interest that survived a private sale. It's the single biggest source of trade-in horror stories in this industry, and it's entirely avoidable.

A PPSR check should happen every time you take a trade-in, and every time you buy privately or at auction, not just when something about the deal feels off. It only takes a few minutes, and it's a lot cheaper than discovering the problem after the vehicle has already gone back out the gate to a new owner.

A few patterns come up again and again:

- Most sellers aren't lying, but "it's all paid off" isn't a compliance record. Only a PPSR check is.
- A previous plate can still have a security interest attached to it, which is why a proper check looks at plate history, not just what's on the car today.
- If it's filled in quickly at the point of sale rather than generated from the actual check data, small errors creep in.
- If a dispute ever comes up, being able to show exactly when and how you checked a vehicle matters.

None of these is hard to fix. They just need a consistent process rather than relying on someone remembering to do it every time.
